Tender Documentation
Preparation of tenders or expression of interest documentation, is a time consuming and resource intensive task.
Tender documentation usually has the following key elements:
- The documentation is clear as to what services/products need to be delivered including time lines and quantities involved. SOR.
- Key performance requirements are outlined
- It's clear whether there are specific requirements for your industry (for example, do staff have to have special licenses, police checks etc)
- The documentation gives a good summary of your company or organisation
- Capacity/Capability statements
- Vission and Mission Stements
- You are clear as to what information is needed about the tendering company. This usually includes: financial viability documentation, relevant referees, copies of relevant policies and procedures, company structure and contract management systems.
- The manner of the pricing submission is clear. (It's often for example, a good idea to provide a pricing/costing template that all tenderers should use).
- Preferably a draft of the Contract or Agreement that the successful tenderer will sign is available.
- The manner and format of tender submissions is clear (Electronic, in hard copy to a tender box etc).
- The process is outlined (for example, whether there is a second interview stage) and how companies can obtain further information and follow any areas of concern
Strategic Planning
Everyone in any organisation will at one time or another express a wish that "more planning could have gone into this" as they struggle to respond to the latest set of challenges. In fact no matter how much planning you do, it is inevitable that your organisation will need to respond to unforeseen changes and frankly it will always be part of what you do.
However, the most successful organisations (for profit or not for profit) are those that are consistently thinking ahead of their competitors and always seem ready for the next set of changes or challenges. Consciously or otherwise, they are thinking strategically and are planning ahead.
They have a Strategic Plan.
Our concept of Strategic Planning is not about a frozen plan that will outline what you need to do at any given time, it is about:
- Being clear throughout your organisation as to why you exist at all
- Developing a strategic approach in response to achieving that goal
- Documenting that approach and having all levels of the organisation accept the process
- Have in place a system where it is reviewed and adjusted as necessary
Obviously much work goes to achieving those simple statements. However, it is not as time consuming as you might think. It is about a willingness to embrace a culture of thinking strategically and incorporating that into day to day operations. Often this is left to the CEO or similar to do; but what makes them the only one that can do this? What happens if they run out of ideas or just get tired? Imagine what it would be like if many people were able to think at a strategic level and contribute to this process.
